Budai Próbaterem is one of Budapest's go-to rehearsal spaces for musicians, bands, and creative collectives. As the studio's community grew, so did the operational complexity behind the scenes: managing bookings across rooms, coordinating instrument rentals, and keeping the fridge stocked for late-night sessions.
Vandslab partnered with Budai Próbaterem to design and build a complete digital system — a public-facing booking platform for musicians and a purpose-built internal admin suite that turns reservation management and product fulfillment into a single, fluid workflow.
Running a busy rehearsal studio is deceptively complex. Every booking is more than a calendar slot — it can include instrument rentals, amplifiers, backline gear, drinks, and food orders, each with its own availability, pricing, and fulfillment logic. Before the new system, staff juggled spreadsheets, phone calls, and handwritten notes to keep everything aligned.
On the customer side, the old booking flow made it hard for musicians to quickly see when a room was free, what gear they could add, and how much a session would cost. Double bookings and last-minute phone calls were a recurring source of friction.
Budai Próbaterem needed a modern, fast, mobile-first experience paired with an admin tool that gave staff full operational control — visibility over every booking, every product attached to it, and the day-to-day flow of the studio at a glance.

Vandslab delivered an end-to-end booking platform built around two audiences: musicians booking a room, and the team running the studio. Both share the same underlying data model — every reservation, product, and payment stays perfectly in sync.
The public site is built for speed and clarity. Visitors can browse rooms, check real-time availability, pick a time slot, and add products — instruments, cables, drinks, snacks — directly to their booking. The interface is effortless on a phone, which is where most musicians actually book.
Behind the scenes, Vandslab built a custom admin suite tailored to how the studio runs. Staff see an aggregated view of upcoming sessions, create or edit bookings on behalf of customers, attach or remove products on the fly, and handle cancellations and special cases without leaving the dashboard.
The product catalog — instruments, drinks, food — is fully manageable from the admin panel. Pricing, stock, and availability update in seconds, flowing straight to the customer-facing booking flow. One source of truth for the entire studio operation.

The booking engine handles overlapping reservations across several rooms, with resolution down to the minute. A concurrency-safe scheduling layer prevents double bookings and keeps availability consistent between the public site and the admin panel.
Every reservation can carry an arbitrary mix of instruments, drinks, and food items — each with its own pricing, stock, and fulfillment rules. The data model lets products be attached, removed, or swapped at any point in a booking's lifecycle, by customers or staff.
Rather than bolting on a generic dashboard, the admin panel was designed around the day-to-day rhythm of the studio: a clear timeline of today's sessions, one-click product assignment, quick search across customers and bookings, and bulk actions for recurring operations.
Staff need to know what's happening now and what's next. The admin surface provides live views of occupancy, product consumption, and revenue — easy to spot trends, plan restocks, and close out the day without a spreadsheet.
Musicians overwhelmingly book from their phones, often minutes before a session. The customer flow is optimized for touch, fast load times, and minimal friction — from choosing a room to confirming the reservation with add-ons attached.
